Finance and Procurement Manager

Reports to: Controller
Compensation: $18-$22/hr
Job Description: The Finance and Procurement Manager manages key financial functions including invoicing, cost analysis, and accounts receivable. This role also manages the procurement of client hardware and software and oversees Help Desk Phone Intake.

Basic Functions:

Finance

  • Prepare and send agreement invoices between the 26th and final day of every month
  • Process and send monthly project and consulting invoices the first week of every month
  • Process invoices for closed tickets and projects on a weekly basis
  • Oversee 3rd party products to ensure accurate billing for M365, Security Bundles, and other 3rd party tools
  • Manage late notices and invoicing aging detail
  • Analyze client profitability
    Complete regular QuickBooks expense analysis to ensure costs align with budget
  • Assist in monthly financial reporting
  • Respond to client billing inquiries
  • Process credits at the discretion of the CXM for billing inconsistencies
  • Complete financial analyses upon request
  • Process QuickBooks Journal Entries when necessary

Procurement

  • Update ConnectWise Product Catalog with proper categorization and pricing
  • Maintain working knowledge of vendors that supply standard products at the lowest possible prices
  • Prepare and process Purchase Orders through ConnectWise
  • Track purchasing and shipping activity for KiteTech and client orders
  • Manage product inventory in ConnectWise to ensure accuracy and that minimum stock levels are met
  • Receive incoming and ship outgoing products
  • Perform the RMA process to procure replacement products from manufacturers and vendors for refund
  • Perform quarterly inventory audits to ensure inventory system accuracy

Phone Intake

  • Field 50+ calls per week and open/update service tickets
  • Work with leadership to ensure proper phone coverage
  • Proficient with general Office applications, specifically Excel
  • Strong mathematical skills
  • Process-driven and maintains high attention to detail
  • Strong organizational, presentation, and customer service skills
  • Strong ability to learn quickly and manage multiple tasks at once
  • Skilled and diligent in preparing written communication to clients and colleagues
  • Interpersonal skills: such as telephony skills, active listening, and customer-care

Education and Experience:

  • Minimum 2 years college in business related field
  • BA/BS in finance, accounting, or business administration, preferred
  • 2 years of finance, accounting, or business administration experience, preferred
