How to Generate and Use the AMS360 Book of Business Report

The Book of Business Report, available in AMS360’s My Agency Reports (MAR), provides a detailed snapshot of your agency’s in-force business as of a specific date. It is one of the most valuable reports for agency owners, producers, operations managers, and consultants because it helps analyze revenue, premium volume, policy assignments, and customer demographics while supporting strategic decision-making and book management. 

In this article, we’ll walk through how to generate the report, what you need to know about the data it includes, and ways you can use it to better understand your agency’s book of business.

What Is the Book of Business Report?

The Book of Business Report displays information about the agency’s active, in-force policies at a selected point in time. Users can:

  • View business by Personnel, Parent Company, Line of Business, and Department
  • Analyze annualized premium
  • Review commission and revenue associated with in-force policies
  • Group and filter data by customer, business unit, company, line of business, personnel, and more
  • Run summary views by NAICS and SIC codes to identify risk markets
  • Report on key policy details, including policy descriptions, acquisition information, customer business entity, underwriter, BOR/AOR effective dates, and business origin

The report is especially useful for:

  • Producer book reviews
  • Account management workload analysis
  • Revenue forecasting
  • Carrier concentration analysis
  • Agency valuation discussions
  • Department and branch performance reviews

How to Generate the Book of Business Report in My Agency Reports

Before you begin: Users must be granted access to the Book of Business Report in Vertafore Single Sign-On (VSSO) before they can access and run it.

  1. Navigate to My Agency Reports.
  2. Select Book of Business Report.
  3. Choose an In-Force Date that represents the point in time you want to evaluate.
  4. Select your Prefilter Options. While you can apply filters before generating the report, I recommend running the report without filters and then filtering within My Agency Reports after the report has been created. If needed, prefilter options include:
    • Business Unit: Division, Branch, Department, or Group
    • Company
    • Personnel: Producer or Representative
    • Line of Business
  5. Run the report.
  6. Once the report generates in My Agency Reports, select your desired columns, filters, and sorting options.
  7. Move columns into your preferred positions.
  8. Create agency and user templates as needed.
  9. Export the report to Excel or CSV if desired.

Important Book of Business Reporting Rules

Before using the report, it is important to understand how the system determines what is considered “in force.”

The Book of Business Report uses the policy effective date and expiration date to determine whether a policy is in force. Understanding this is important for several reasons. One of the biggest is that downloads do not change the expiration date on cancelled policies. As a result, a policy could be cancelled and still be included as “in force” on the report.

Policies Excluded from the Report

The Book of Business Report ignores policies when the most recent transaction is:

  • New Business Quote (NBQ)
  • Policy Change Quote (PCQ)
  • Policy Inquiry (PNQ)
  • Renewal Quote (RWQ)
  • Renewal Requote (RRQ)

How Policy Status Affects the Report

Unlike some AMS360 reports, the status of the policy, such as Active, Cancelled, Renewed, or Rewritten, does not necessarily determine whether the policy appears on the report. Here are a couple of key facts to know:

  • Policy status does not determine inclusion or exclusion. Instead, the policy term dates are used to determine whether the policy is considered active based on the selected In-Force Date.
  • Policies with cancellation or non-renewal transactions occurring after the selected In-Force Date may still appear as “in force” based on their policy term dates.

Continuous Policies

While we recommend that agencies avoid using the Continuous option for policies, I know there are agencies that still use it. Continuous policies are included when:

  • The Policy Effective Date is on or before the In-Force Date, and
  • The Transaction Effective Date is on or after the Continuous Effective Date.

Understanding Book of Business Financial Data

One of the most valuable features of the Book of Business Report is its ability to bring a wide range of financial information together in one report, including:

  • Premium
  • Booked revenue
  • Estimated revenue
  • Billed agency commission
  • Unbilled agency commission
  • All Executive commission
  • All Representative commission
  • Broker commission

The report also includes estimated annualized premium, which uses policy term length to project premium to a 12-month basis. Policies with terms shorter than eight months are not currently included in the annualized premium calculation in AMS360.

Revenue

Revenue is calculated as:

Billed Agency Commission + Agency Fees

To forecast annual revenue, agencies should use the Estimated Revenue column. Keep in mind that this requires additional setup and the use of specific fields to calculate correctly.

Unlike AMS360 Classic Reports, the Book of Business Report includes unbilled agency commission for partially billed premium and non-premium transactions, allowing agencies to view total expected revenue.

Commission Information

Available commission metrics on the Book of Business Report include:

  • Billed Agency Commission
  • Unbilled Agency Commission
  • All Executive and Representative Commission
  • Broker Commission
  • Agency Revenue

One important difference from AMS360 Classic Reports is that individual Executive and Representative commission splits are not available in this report. The report shows total commissions for all Executives and/or Representatives rather than individual totals. Those details remain available through the Production Analysis Report.

How to Analyze Your AMS360 Book of Business

The Book of Business Report offers many ways to analyze agency data. One popular use is evaluating books assigned to producers and service staff. This allows agencies to:

  • Measure book transfers
  • Review producer retention
  • Analyze account reassignment trends
  • Understand ownership changes over time

The report links policies to business units configured in AMS360, giving agencies the flexibility to calculate total books by:

  • Division
  • Branch
  • Department
  • Group

These fields make it possible to produce department-specific or branch-specific book reviews.

The report also contains extensive customer information, ranging from customer or firm names and email addresses to NAICS and SIC codes. This makes the report useful for customer segmentation and cross-selling initiatives.

Policy-level reporting includes important information such as policy numbers and policy terms, along with transaction information related to cancellations, non-renewals, and rewrites. These data points can be particularly useful during renewal planning, book roll evaluations, and agency acquisition reviews.

Book of Business Report Best Practices

Include Revenue Columns

Many agencies focus only on premium volume, but revenue can provide another important view of the agency’s book because it incorporates commissions and agency fees.

Remember, the Revenue column reflects booked revenue. If you want to see projected revenue, be sure to include Estimated Revenue in your report.

Leverage Business Unit Groupings

Grouping by Division, Branch, Department, or Group can help leadership understand where premium and revenue are concentrated across the organization.

Validate AMS360 Data Entry Practices

Because the report pulls directly from AMS360 setup and policy transactions, accurate and consistent maintenance of your AMS360 data is critical to obtaining meaningful results. Pay particular attention to:

  • Business Units
  • Personnel Assignments
  • Customer Information
  • Policy Details
  • Revenue Information
  • Proper transaction processing

Accurate processing of renewals and rewrites, endorsements, cancellations, and expired policies is also key to producing reliable data.
