AMS360 Active Clients Report: A Powerful Tool for Data Integrity and Auditing

Accurate customer and policy information is essential for reliable reporting in AMS360. But over time, inconsistent data entry, outdated classifications, and mismatched assignments can create discrepancies that affect everything from customer counts to producer reporting.

The Active Clients Report in My Agency Reports (MAR) is a valuable tool for identifying these inconsistencies. By bringing customer-level and policy-level information together in one report, agencies can audit their data, evaluate workflows, and identify opportunities to improve reporting accuracy.

Using the Active Clients Report to Compare Customer and Policy Data

One of the most valuable features of the Active Clients Report is its ability to combine customer-level and policy-level information into a single report. While premium and revenue fields are not available within this report, it remains one of the most effective tools for auditing agency processes, workflows, and data accuracy.

Within MAR, the Active Clients Report can display comparable fields from both the customer and policy levels, including Division, Branch, Department, Group, Executive, and Representative. By placing these fields side by side, agencies can quickly identify discrepancies between customer and policy records. For deeper analysis, the report can also be exported to Excel.

Identifying Customer Classification Issues

This visibility makes it easy to uncover situations where records may not accurately reflect a client’s current status. For example, you can identify entries classified as customers that do not yet have policies and should instead be categorized as prospects. Likewise, the report can reveal customers marked as active without active policies, or inactive customers who still have active policies attached to their accounts.

These types of inconsistencies may seem minor, but they can have a significant impact on reporting accuracy. If every new entry is automatically classified as a customer rather than a prospect, customer counts become inflated over time. Agency principals and managers often monitor customer counts closely, and these figures are frequently requested when completing carrier appointment applications or other business assessments. Inaccurate classifications can result in misleading metrics and unreliable reporting.

The impact extends beyond customer counts. Consider an agency generating $1.5 million in annual revenue. To determine the average revenue per customer, the total revenue is divided by the number of customers. If prospects and inactive accounts are incorrectly counted as customers, the average revenue per customer will appear lower than it actually is.

The result is a distorted view of the agency’s book of business that can affect strategic planning, benchmarking, and carrier discussions.

As with any reporting tool, the quality of the output depends on the quality of the data being entered. When servicing teams fail to update records consistently or apply the correct classifications, reporting becomes unreliable. The Active Clients Report helps agencies identify and correct these issues before they impact decision-making.

Uncovering Producer and Policy Assignment Discrepancies

Another common example involves ownership assignments such as Executive or Representative designations. Suppose an agency wants to determine how many customers and policies belong to a specific producer. The Active Clients Report can easily provide a summary, but the results will only be accurate if customer-level and policy-level assignments are aligned.

For instance, if the customer record lists Jim Case as the Executive while the associated policy records list Robert Black, the summary totals will vary depending on which level is used in the report. Producer Black may appear to own ten customers at the customer level but only three at the policy level.

In some cases, another producer may not appear at all when summarizing policy ownership despite being assigned at the customer level. Similar discrepancies often occur when agencies combine Benefits policies under Commercial accounts.

These mismatches can significantly distort production reports, ownership tracking, and management dashboards. More importantly, they often occur without staff realizing the downstream impact their data-entry decisions can create.

For this reason, maintaining consistency between customer-level and policy-level information is critical. The Active Clients Report provides an efficient way to identify mismatches, uncover training opportunities, and highlight areas where global updates may be necessary.

Improving Data Integrity Through Regular Reviews.

For agency principals, managers, and operations teams, the Active Clients Report should be considered an essential part of any data governance strategy. Regular review helps maintain cleaner data, improve reporting accuracy, and support better business decisions.

When conducting AMS360 database assessments, the Active Clients Report is consistently one of the first tools I use. It provides visibility into many of the foundational fields that drive reporting throughout the system.

By making this report part of your agency’s regular review process, you can identify inconsistencies before they become larger problems, improve data-entry practices, and uncover opportunities for training or system updates. The result is cleaner data, more reliable reporting, and greater confidence in the information used to make important business decisions.
