Getting to Know the Benefits Overview Screen in Applied Epic
The Benefits Overview screen is a relatively new addition to Applied Epic that’s designed specifically to support Employee Benefits workflows.
Instead of requiring Benefits staff to work around Property and Casualty-focused screens and terminology, Applied Systems has created a centralized space where the most important account, plan, enrollment, administration, and compliance details can be viewed and maintained in one location.
This gives Benefits teams a more efficient way to manage account information. It also reduces the need to jump between multiple screens and instead view the full picture of a client’s benefits program at a glance.
This blog will walk you through what you can find in Applied Epic’s Benefits Overview screen and what those elements mean.
How Changes Made on the Benefits Overview Screen Impact Other Locations in Applied Epic
Changes made on the Benefits Overview screen, such as adding plans, updating activities, or entering administration and compliance details, will also sync to the item’s default location in Applied Epic. For example, a plan added from Benefits Overview will also appear on the Policies screen, and activity updates made from Benefits Overview will update the associated activity record.
This syncing allows Benefits staff to use the Benefits Overview screen as a centralized workspace without losing the connection to the standard Applied Epic screens where that information is traditionally maintained, while also supporting consistent reporting across departments.
Account and Contact Information
The Account and Contact Information section shows the key people and account details for the client. Here’s a breakdown of what you will find in this section:
Account Header
- Displays basic account information, such as the Address, Phone, Fax, and Email.
- Also displays classification information, such as FEIN, NAICS, SIC, and Type of Business.
- Select the Primary Renewal Month for a quick view of renewal dates. This field is reportable from a Client List Report: Simply add the Primary Renewal Month criterion from the Client folder of the report.
- Click Edit Account Details to go to the Account’s main Account Detail screen.
Contacts
- Displays the Main Business Contact (should be the name of the business) and the Primary Contact (should be the main person to contact about the account).
- Click View All Contacts to open the Account’s main Contacts screen.
- Click + New Contact to add a new contact to the Account.
Detailed Client Information
The bottom half of the Benefits Overview screen provides a more detailed view of the client’s Benefits-related information. This includes Activities, Plans, Administration, and Compliance. These sections allow users to review key servicing items, maintain plan details, document enrollment and payroll information, and track important compliance data, all without leaving the Benefits Overview workspace.
This area is where most of the day-to-day Benefits management information is organized, making it easier to see what has been completed, what still needs attention, and where additional follow-up may be needed.
Account Overview Tab
The Account Overview tab summarizes key activity, plan, and employee details from multiple areas of Applied Epic.
Activities Associated to Plans: Displays only activities that have been associated with a Benefits plan. (If the activity was created at the account level, they will not display here.)
- Toggle the View between Open and Closed Activities.
- The ellipsis (…) next to the Code column replaces the Actions button in the Options Bar. Actions performed here will update the Activity.
- Click the + Activity button to add an activity. The default association is at the Account level, so be sure to Change Association so it will display in Benefits Overview.
Plans: Displays any policy type that has been set as Type of Business = Benefits in Configure > Policy Types.
- Toggle the view between Active Plans and Inactive Plans.
- The ellipsis (…) next to the Plan Type column replaces the Actions button in the Options Bar. Actions performed here will update the policy in the client’s Policies screen.
- Click the + Plan button to add a new plan. This is the same action in Epic as clicking the + from the Policies The Plan Types available to add are limited to Benefits plans only.
- Click the hyperlink on the Plan Type code to drill down into the Details of the plan. Six new tabs appear.
- Details: Includes basic plan information, similar to the Line screen when a plan is opened from the Policies Here you will find the Status, Effective/Expiration dates, Carrier information, and Estimated Premium.
- Rates: This pulls from the Policy Information > Plan/Rate Information screen within the plan.
- Accounting: Information from the Policy > Servicing/Billing > Line and Pr/Br Commissions tabs.
- Benefits Attributes: If your agency is using Epic Forms, plan and rate information is viewable here. Otherwise, click the View Form Detail to open the plan on the Policies area.
- Servicing: Servicing Contacts, Agency Defined Categories, Comments, and History (the Servicing and Categories/History tabs from Policies > Servicing/Billing > Line.
- Plan Attachments: Displays attachments associated to Plans.
Employee Class: Displays information from the Account Detail > Employee Benefits tab. Changes made here are synced to the Account Detail screen. Plans need to be updated individually.
Administration Tab
The Administration tab, located next to the Account Overview tab, includes Employee Counts, Enrollment, and Payroll information.
It is divided into three sections:
1. Employee Counts: Displays information from the Account Detail > Employee Benefits tab. Changes made here are synced to the Account Detail screen. Plans need to be updated individually.
2. Enrollment: Here you can record basic enrollment information, such as Enrollment System information and Enrollment Period information. In order for the Employment Portal to appear in the dropdown, it needs to be added as a Vendor in Applied Epic.
Note: Although these fields are only found in Benefits Overview, they are reportable from the Client List Report. Add the criteria from the Client folder.
3. Payroll: Here you can document payroll information. As with the Enrollment section, the Payroll Vendor needs to be added as a Vendor in Applied Epic. Also, these fields are reportable from the Client List Report.
Compliance Tab
The Compliance tab is located next to the Administration tab and contains the account’s compliance-related information. Updates made here sync with the Account Detail > Employee Benefits tab, and updates made there sync back to the Compliance tab.
Compliance Comments: A freeform, editable field to keep general comments. Just like other Comments sections in Applied Epic, this is editable and is not part of the permanent record. Keep important information in Activity Notes.
BAA: A place to record if and when a HIPAA Business Associate Agreement was signed.
ACA: A place to record Affordable Care Act information, such as if form 1094/1095 filing is required, the classification of the ACA Preparer (Outsourced Vendor, Client, Compliance Team, Carrier, Broker, or Benefits Admin System) and ACA Approver (from the Client’s contacts).
ERISA: A place to record Employee Retirement Income Security Act (ERISA) of 1974 information. This includes details like Plan Year Start/End, Compliance Verified Date, Wrap Information, Section 125/POP Plan Information, and Form 5500 Requirements.
COBRA/State Continuation: A place to record Continuation information.
PCORI: A place to document PCORI fee information.
