Strategies for Success with AMS360 Downloads

In the insurance world, “downloads” refer to the process of electronically transmitting policy, billing, and claims data from a carrier’s system to an agency management system (AMS) such as Vertafore AMS360. Most downloads follow ACORD standards, ensuring consistency across carriers and systems.

Now, why do downloads matter? Their purpose is to automate data transfers so agents don’t need to manually enter information from carrier documents. That’s a lot of time saved when working with everything from policy details (coverages, limits, endorsements, audits) and billing transactions, to commissions and claims updates.

In recent years, carriers have expanded downloads to include eDocs and carrier communications. This enables items like dec pages, cancellations, payment details, and underwriting messages to flow directly into your AMS.

Just like a phone call requires dialing the correct number, AMS360 must be properly connected to IVANS (or another download vendor) to receive carrier data. Let’s review how to set up your Downloads in AMS360.

How to Set Up Downloads in AMS360

1. Download License with Vertafore

Your agency must be licensed for downloads. If you haven’t set up downloads before, contact Vertafore Customer Service at 800-888-4813.

2. Sign Up with IVANS to obtain an account

Visit the IVANS website to request your account: https://www.ivans.com/for-agents/products/ivans-download/

3. Enable Downloads with Each Carrier

Request downloads from each carrier or activate them via their portal. As a helpful tip, avoid an “initial download”, as it can create duplicate transactions and inflated premiums.

Common download types include:

  • Policy data
  • Claims data
  • Commission statements (Some carriers also offer eDocs, but not all.)

4. Configure AMS360 with IVANS Account Info

Next, you will need to properly configure AMS360 with your IVANS account info. To do this, navigate to Administration → General → Download Setup. Enter the following:

  • IVANS Account # (set to Agency)
  • IVANS Machine Address (your IVANS IBM address)
  • Participant Code (provided by IVANS)
  • Mailbox Details for each IVANS account:
    • Account #
    • User ID
    • Password
    • Business Unit (if applicable)

Then, at the Company level, enter the following:

  • Download Address: Carrier’s IVANS IBM address
  • Download Options:
    • ✔ Use prior policy number to find policy match
    • ✖ Upload option (leave unchecked)
    • Retain lines of business not sent by company (optional)
    • Retain lines not sent at renewal (optional)
    • ✔ Retain rewrite transaction (recommended)

Ongoing Maintenance

Downloads require daily maintenance. When downloads cannot attach automatically into AMS360 via programmed data points (e.g. Insured name, Policy Dates, Parent Company, LOB), AMS360 will assign those downloads into a hold. The downloads will remain in that hold until someone has the issue resolved and then manually assigns the download to load under the customer.

To access the hold the Monitor Download Hold, go to Toolbox → Integration → Download → Assign Customer Policies. Visit this daily to manually assign unmatched downloads.

Why should you run these download reports daily? You will be able to ensure that any issues are addressed immediately and any incomplete transactions are communicated. These are the reports you will need in both Classic and My Agency Report (MAR):  

  • Download Detail: Flags incomplete transactions and reasons.
  • Download Session Log: Tracks success/failure of communication and file storage.

The download reports that accounting will need to run are:

  • Download Direct Bill Statement
  • Download Unassigned Accounting Transactions (details here)
